Budapest was supposed to host ESCAN2020, which later became ESCAN2021. The current situation requires us to adapt further: while vaccination has started, planning a travel may still not possible and socializing may not be safe for all of us.

To allow equal access and stress-free participation for everybody we are happy to announce that ESCAN2021 goes virtual. Having seen the symposia proposals and the poster/free presentation abstracts flowing in we are very excited about the excellent content we'll have.

Virtual Conference Platform

The meeting will be held through EventsAIR OnAIR virtual event platform providing a transparent environment for a thought-stimulating and highly interactive program.

The virtual platform can be open by a personal password that will be sent to each registered participants a couple of days before the event.

1. CONFERENCE PLATFORM


WHERE IS THE ONLINE CONFERENCE TAKING PLACE?

The 5th Conference of ESCAN will take place on a virtual conference platform.

Registered participants will receive personal login details via email a few days prior to the conference. Please note that you can log in only from one device at a time, parallel login from two or more devices is not possible. Notification email will be sent from either no-reply@eventsairmail.com or mail@eventsairmail.com, please check your inbox and also your junk/spam mail. To make sure to get the login details, we recommend to add these two e-mail addresses to your mailbox as reliable senders, to avoid it considering them as spam.

We kindly ask you to login well in advance to familiarize yourself with the event portal. If you have questions, please see the Help menu by clicking on the question mark in the upper right corner of the platform.


WHAT TECHNICAL PARAMETERS DO I NEED TO PARTICIPATE?

To attend the meeting, you will need a good internet connection, your device (PC / laptop) as well as a valid registration. To enjoy the most of the live stream, we recommend using at least 10-20 Mbit/sec speed. You can check the speed and performance of your connection here: www.speedtest.net. If you face technical difficulties, they may be caused by your internet browser. Please try to open the live session with several browsers (Chrome, Firefox etc.). Another reason could be your firewall or internal IT blocking the conference platform.


WHAT TO DO IF MY LOGIN FAILS?

    Checklist to solve login problems:
  • You should use the right email address to login, the one where you received the login information message
  • Type in your login email by hand not copy and paste
  • Type in your PIN code by hand not copy and paste
  • Use all capitals for the PIN code
  • Zero and letter O may be mixed in your PIN code
  • Check the login on different browsers
  • Check the login on different computer
  • Check the login on your private computer – corporate computers may block opening some pages
  • Check the login on different network – corporate networks may block opening some pages


WHEN WILL THE ONLINE CONFERENCE BE AVAILABLE?

The online platform will remain open after the conference for the registered participants. If you have missed the live session or would like to watch it again the recordings will be available till 31 August on the conference platform. Your login will be valid until that date.


2. PLATFORM FUNCTIONS


HOW TO USE THE ONLINE PLATFORM AND ITS FUNCTIONS?

First login
When you first sign in to the event portal, the Event Check In window displays, where you can update your profile, capture or add a profile photo and review your privacy settings. Please set in what time zone you are in and we we will adjust your timeline.

Updating Your Profile
To edit or change your settings, please click on your profile photo at the top right of the screen and select My Settings.

Using the Timeline & joining live sessions
Sessions and functions that are happening each day are listed in the timeline in chronological order. You can click on any of the items in the timeline to view additional information and join the session or function. Once joined to a session, you can use the discussion forum, live Q&A function and take your own notes.

Using the Meeting Hub
The Meeting Hub allows you to connect and communicate with other attendees. Once you have located an attendee you want to connect with, click the Connect button. Once the other attendee accepts your request, you can choose to interact with your connection by starting a live chat. You can also schedule to meet at a future time, send messages and take notes. Contact information for all attendees you have connected with be included when you export your contacts (see the Exporting your Notes and Contacts for additional information).

You can start browsing Video presentations and PDF posters from your first login. You can also use the discussion forum and enter your own notes. Please scroll down for more information at Poster session part.

Exporting your Notes and Contacts
Any personal notes that you take throughout the event can be exported by selecting the Export icon in the top right of the screen near your Profile image. In additional, all Meeting Hub connections you have make with other OnAIR participants will save their contact information, that you can export using the Export option as well. How to watch a recorded session later?

Please choose the day and scroll down on the Timeline. Select the session and click on the Play button at Session Recording field on the right side.

The wonder.me link of the poster sessions is open throughout the event, if you wish to video chat with another participant please feel free to use this room for discussion. See details at information about Poster sessions below.


3. HOW TO JOIN A POSTER SESSION?


HOW TO INTERACT WITH FREE PAPER AUTHORS?

If you wish to discuss your questions with free paper authors join a Poster Session on Wed/Thu/Fri by clicking of the relevant sessionon the Timeline. For these discussions we use Wonder (wonder.me) which runs under the Chrome browser. If your computer has any other default browser, please open Chrome and copy+paste the link from the Session Information to open the room.


HOW TO USE WONDER.ME?

When you first open the link, you need to set up your cookie preferences and enable the camera & microphone of your device. As the next step, you need to set up your profile by typing in your name and capture a profile photo (you can modify it any time later during the event in settings). We kindly ask you to use full names instead of nicknames to help other attendees to find you. Before entering the room, the program will ask for a soundcheck, too. To finish your setup, a question from organizers will appear.

Once entered the room, you will find avatars representing fellow attendees, as well as bigger circles representing existing group talks. To move around, click anywhere on the screen and hold, your avatar will follow your cursor. You can find other participants using ctrl+F on the Participants list.

To join someone or a group simply move your avatar to any other circle. You can move around freely between groups. Alternatively, you can invite other people to your circle by clicking on their avatar and choose "invite to my circle". 15 participants can join a circle at a time. The circle may be temporarily closed by the participating attendees which is marked by a lock sign in the middle.

Wonder provides all basic virtual meeting functions, such as mute & unmute your mic, toggle video, screen share, these buttons are found at the bottom. To watch video chat on a bigger screen, click on the arrow top left. On the right side, you find some other functions: checking participants near and far, chat with your circle or everyone, or start a private chat. Your profile settings can be changed in the Settings menu (gear icon). If you feel lonely on the screen or not seeing too many others around, you might not see the whole picture. Please zoom out by clicking on +/- in the top left corner. Please note: host functions are not available for participants.

ESCAN Membership

Non-members should consider joining the society. Membership is inexpensive and among the many benefits, Members receive discounts on the meeting registration.

Confirmation

Acknowledgement of registration and receipt of fees will be sent soon after the registration form and full payment are received. Upon request, a letter of invitation will be sent.

Online payment

Online payment is available with VISA, VISA Electron, V-Pay, MasterCard, Maestro and JCB cards only. Upon finishing your registration you will be redirected to the secured online payment site of K&H Bank Zrt. AMEX cards: Payment with AMEX card is only possible in a traditional mail order way. In this case please return the Credit Card Authorization Form with your card details.

Invoicing

Taxable invoice will be issued on all incoming payments. Invoices will be prepared for the customer name indicated on the registration form. Please note that the Congress Secretariat will not modify the customer name on issued invoices so please take care of the right billing address when you fill in the registration form.

Cancellation policy

All cancellations should be sent in written form to the Congress Secretariat.

  • If cancellation arrives before 20 April 2021 full refund less EUR 30 (as handling fee) of the registration fee will be applied.
  • No refund is available after this date, though substitution in person will be accepted.

The workshop is aimed at newcomers to the method and at users who want to deepen their theoretical knowledge. We will focus on fostering an intuitive understanding and working with practical examples. The workshop will be divided into a theoretical overview and training with the software in smaller groups. Training will be adapted to participant's previous exposure to PsPM, SPM or Matlab. Participants are welcome to bring along specific questions on PsPM, or experiments that they are planning to analyse with PsPM.

All authors of accepted oral presentations / posters are required to create a pre-recorded video / PDF of their accepted oral presentation / poster.

    The authors are free to decide whether to submit
  • a mp4 video presentation of max. 12 mins, OR
  • a PDF poster with an optional mp4 video of max. 3 mins

Both videos and posters will be available on the virtual event platform in a poster gallery from the opening of the platform in June until the end of August.

    Please ensure you
  1. register to the event by as soon as possible (please note that early registration fees apply until 20 April), and
  2. finalize and upload your video/poster by 6 June 2021.


GUIDELINES FOR PREPARING AN E-POSTER GUIDELINES FOR PREPARING A VIDEO

The e-poster must be a one page PDF file. Please do not upload Powerpoint or other files.

  • All eposters should have one page only, in landscape.
  • To assure the best quality of your ePoster, we recommend that the .pdf file has the size of an A0 sheet (1189mm x 841 mm or 46.81 × 33.11 inches). In case you are using Photoshop to create your eposter, you can also see its resolution, which should be a minimum of 200dpi.
  • Hyperlinks, animated images, animations and videos are not permitted for eposters.
  • QR Codes can be included.
  • Always compress your pdf online before uploading. Maximum file size for uploading is 10MB

Here is a short info on how to prepare your (paper or virtual) poster.

Please be sure the e-poster includes the title of the paper, the authors, and a reference to ESCAN2021.

There are multiple ways to create an excellent quality recording.

II. You can use Power Point as well for this purpose:

  1. Create a Voice Over Power point file
  2. Convert it to MP4 with MS PowerPoint - use the lowest resolution
  3. Finally compress your MP4 video file to reduce the file size with up to 80% without losing quality

Tip: it results a better visual experince for the participants if they can see the presenter on the recording.

If you record a webcam picture, make sure you position your camera correctly and you take care of appropriate lighting.

Please be sure the video includes the title of the paper, the authors, and a reference to ESCAN2021.

VIDEO FILE FORMAT

  • File size: 80MB max - always compress your MP4 file, see above!
  • Video file format: mp4
  • Bitrate: max 1 mbps - To check the bit rate, right click on the file name, click on properties, go to the details tab, and look for total bitrate.
  • Resolution: maximum 720p HD
  • Dimensions: Minimum height 480 pixels, aspect ratio: 16:9
  • Please be sure the video includes the title of the paper, the authors, your disclosure and a mention to ESCAN2021. Please add your disclosure as the first slide even if you have nothing to disclose.

TIPS FOR VIDEO RECORDING

  1. Use as quiet an area as possible
  2. Avoid areas that have echo
    • Rooms should be fairly small
    • Sound dampening with carpeting, curtains, furniture
  3. Good headset with microphone close to mouth BUT away from direct line of mouth to reduce "pops".  Avoid using default built-in microphone on computer.
  4. Do a test recording of a couple of minutes and review the sound and picture quality, MP4 format, and bit rate before recording the entire presentation. Make adjustments if needed.

UPLOADING YOUR VIDEO/PDF POSTER (DEADLINE: 6 June 2021)

  1. You will receive a unique upload link by 15 April 2021. Please check your spam folder first as our message might have landed there. Click on the upload link.
  2. Upload your MP4 presentation or PDF poster (the system will allow you to upload one file only for each abstract).

Important note for PDF poster submitters: if you intend to submit a PDF poster with a short video, please upload your PDF only. Should you wish to upload an additional short video please wait for further instructions.
